About the Architect

Who created MapleExpense, and why?

MapleExpense is built by Joel Gathercole, founder of Joel & Nanz Inc. He is not a fintech founder who researched small-business accounting — he ran CafeVox, a brick-and-mortar internet cafe, from 2009 to 2012 (2012 archive), plus a computer store and multi-channel online retail. He has personally sorted a year of faded thermal receipts at a kitchen table in March. MapleExpense exists because he then spent 20 years as an enterprise IT director watching large organizations solve that same problem properly, and concluded there was no reason a Canadian small business should not have the same thing.

Every expense app is built by someone. The question worth asking is whether that someone has ever been on the wrong end of a GST filing.

Joel Gathercole has. From 2009 to 2012 he ran CafeVox, an internet cafe — a real storefront with real foot traffic, a point-of-sale system, a public network under constant load, and a shoebox that filled with receipts faster than anyone wanted to admit. He also operated a computer store and built online retail channels through eBay and Amazon. Inventory, supply chain, sales tax across categories, and the annual reckoning where twelve months of paper had to become a defensible set of books.

That is the empathy half of MapleExpense. The other half is 20 years at TriageLogic, where Joel rose from external VoIP provider to Director of IT, responsible for architecture, security and scale on infrastructure handling highly sensitive healthcare data. Enterprise organizations do not lose receipts. They have systems where every number on every report drills back to the source document, because auditors ask and someone has to answer.

MapleExpense is those two experiences fused: enterprise-grade audit discipline, built for a business that does not have an accounting department.

Practically, that means a few opinionated decisions. Every figure in a MapleExpense report drills down to the underlying record — the receipt, the transaction, the source document. Nothing is a rolled-up number you have to trust. Canadian tax reality is built in rather than bolted on, with proper GIFI line mapping and GST/HST handling, because a Canadian business should not be forced into US-shaped categories and then reconciled by hand at year end. And a receipt with no matching bank transaction is not treated as an error — sometimes an owner paid with a personal card, and the software should understand that instead of flagging the owner as suspicious.

Those details only get built by someone who has actually filed. They are invisible to a product team that has never been the small business owner.

There is also the sovereignty question. Expense data is among the most revealing information a company holds — every vendor, every subscription, every trip, every client dinner. Most of the tools sold to Canadian SMBs park that on US servers under US jurisdiction. As a former Director of IT who spent two decades personally accountable for where sensitive data lived, Joel built MapleExpense to keep Canadian business data in Canadian hands.
